Position: Intake Specialist / Receptionist

Schedule: Full time

Location: Chelsea, MA

Salary: $50,000-$60,000, depending on experience, with benefits

La Colaborativa is looking for dedicated intake specialists who will work on-site at an Emergency Assistance (EA) shelter eligible families to identify and triage immediate needs, collect. This position will operate in a manner that is trauma informed, human centered, and compassionate to the diverse needs, backgrounds, and goals of residents. Working independently and as part of a team of human services professionals, this position will play a critical role in affecting the short- and long-term economic and housing stability families facing homelessness.

Key Responsibilities

Greet shelter residents, staff, and guests at the entrance to the shelter, fostering a welcome and dignified environment;

Implement protocols and safety procedures relative to resident and guest entrance and exists;

Become familiar with and maintain an understanding of each shelter staff member’s role, as well as the roles of core partners;

Carry out intake processes, gathering data on households’ characteristics, needs, and goals, in coordination with case management staff;

Promote empathy compassion in all interactions, treating all residents with dignity;

Perform data collection and data entry, in coordination with the Salesforce system;

Proactively carry out wellness checks on residents to promote stability and wellbeing

Attend to the reception area. Answer incoming phone calls. Take and deliver messages. As directed, schedule appointments and make outgoing calls for shelter staff and residents;

As directed, disseminate critical information to residents pertaining to upcoming programming, shelter protocols, public health, local resources, and other matters raised by supervising staff;

Work collaboratively with internal staff and partners to delivery high quality, compassionate services to residents;

Assist with physical inventory of shelter items. Organize and sort shelter items upon delivery;

Receive and sort mail, including both staff and resident mail. Maintain daily mail log;

Perform administrative duties;

Maintain a safe and clean space, following all health and safety protocols;

Carry out all responsibilities with the utmost integrity and honesty;

Prioritize cultural safety and sensitivity, specifically with Latinx and immigrant communities, in all facets of work;

Handle requests in a timely and efficient manner, completing multiple tasks safely in a fast paced environment;

Complete other duties as assigned.

Qualifications and Skills

Bilingual Spanish-English or Haitian Creole-English;

1+ years of customer service experience, preferably in human services + possess demonstrated

commitment to customer service;

Experience with data entry and management, a plus;

Must be over 21 years old;

Experience working in immigrant and multi-cultural communities;

Demonstrable track record of working independently and dependably completing assignments;

Highly skilled at written and oral communication, as well as tactfully interacting with people through a trauma-informed, culturally sensitive approach;

Excellent ability to carry out responsibilities independently as well as collaboratively as a team;

Capable of being adaptable, agile, and proactive;

Detail oriented, methodical, and organized, with excellent time management and organizational skills;

Background in excelling in a fast-paced, dynamic environment. Experienced at creating and

implementing systems to remain organized and complete tasks on-time; and

Empathetic and compassionate, with a strong sense of community.
